FAQ for uploading Bank Statement in OMS

1. What are Bank Statements ?


A bank statement is a document issued by a bank to an account holder, typically on a monthly basis, summarizing all transactions that occurred within a specific period in a particular bank account. It provides a detailed record of all deposits, withdrawals, transfers, and other activities related to the account. In zetwerk we are maintaining the bank statements for the entire transaction based on credit or debit transactions, which needs to be uploaded in “Bank Statement in OMS” 



2. How do I access Bank Statement upload in OMS?


  • Login to OMS directly and navigate to the Finance and then to the Bank Statements section where you find the upload statement tab. 

  • The path  OMS>FINANCE>BANK STATEMENT





3. Who can upload the bank statement?


  • The banking team only will be uploading the Bank Statement in OMS which needs to be generated from the particular bank website


4. What information do I need to provide while uploading a Bank Statement?


  • Login to OMS using your credentials

  • Go to the finance section section where you can find Bank Statements

  • Click on Upload statement which will open an information box

  • Fill in the bank details and select the statement date range

  • Attach the bank statement for the full days for the period chosen 

  • Click on upload and the uploaded statement would be visible on the bank statement UI



5. What should be the time period for the bank statement?


  • Please note that Bank statements should be uploaded for the full days for the period chosen in the statement date range. Partial day statements should not be uploaded.

  • For example: If you have selected the statement date range from 21st april 2024 to 28th april 2024, then the bank statement should be from 21st april 2024 to 28th april 2024


6. Will the bank statement upload throw an error if the statement is uploaded for 1-6 of the month and again uploading from 8-10 gaping 7th of the month?


No it will not throw an error as long as the statement date range match the bank statement date in the excel file


As you can see in the ss below, the SBI bank statement has been uploaded from may-14-2024 to may-16-2024 and another from may-6-2024 to may-13-2024, gaping may-13-2024.



7. How  to delete the bank statements from OMS?


     Follow the steps shown below to delete the transaction:

     - Select the bank and bank account with the help of filters 




Select the statement you wish to delete


- Go to the delete icon and click on it



       - Click on delete to delete the bank statement




8. Where all the bank statement transaction were used?

  • In credit transaction whenever we have received the amount we will mark in credited amount in OMS

  • In Debit transaction whenever we have paid  the amount we will mark in debit  amount in OMS




9. In what scenario, deleting the transaction will be problematic?


  • Deleting the transaction will be problematic if both credit entry and debit entry were marked in OMS.






10. What should be the date format mentioned in the excel sheet while uploading the bank statement?


  •     While uploading the bank statement, the date format should be dd-mm-yyyy in the   excel sheet 


11. What should be the transaction description while adding the bank statement?


  • While uploading the bank statement , the transaction description should be mentioned in the utr parsing logic.  If the statement transaction contains the transaction-descriptions which is not the part of utr parsing logic then we have to send empty utr for the particular transaction.



12. What are templates to be used while uploading the bank statements?


  • The user should use the correct and current template for each bank statement. Note that templates for different banks can be different.



13. What is the validation available for SBI template?


  • In the Transaction date, ideally for the sbi template, the row should start from line 23 and line 7 and 8 should be blank lines.


           


14. What are validations for bank statements for SBI zetwerk?


  • The bank details descriptions are to be mentioned in row A

  • The bank details are to be mentioned in row B

  • The rows 6,7 and 8 should be empty

  • The row 22 should be empty

  • The transaction date should start from row 23

  • The transaction date should be mentioned in row A, value date in row B and the description in column C, reference in column D,branch code in column E, Debit in column F, credit in column G,balance in column H.

  • A row should be empty before the computer generated statement i.e “ **This is a computer generated statement and does not require a signature”

15. What are the validations for bank statements for ICICI Zetchem?


  • Row 1 and 16 should be empty

  • Row 21 and 27 should be empty

  • The page total should start from row 22 

  • The legends used in account statement should start from row 28

  • All the details mentioned in “ The legends used in account statement” should be mentioned only in column A

  • The transaction details should start from row 17

16.  What are the validations for bank statements for PNB Pinaka?


  • Only the “account statement for account number” should be mentioned in row 1

  • Starting from row 2, Column A should be empty

  • The statement period should start from row 20

  • The branch details and customer details should be present in column B

  • The transaction details should start from row 21

  • For reference here

Summary of the bank statement upload validation:


At the time of upload we should check for-

  1. Bank account number selected in OMS is same as the bank account number in excel

  2. Date range selected in OMS is same as the transaction date in the excel

  3. Duplicate transaction check between DB and excel (Date, narration, amount(debit/credit), UTR) for a bank

  4. Check for the empty rows and columns.
